This role operates at the cross currents on several core functions including Guest Services, Operations, Human Resources and requires dependability, flexibility and adaptability. The successful candidate will take ownership of many of the day-to-day administrative activities in these departments, creating the foundation for the positive, supportive, creative culture that is the heart and soul of the Ranch. This role requires flexibility and the ability to resolve issues in a friendly and effective manner. Other expectations include availability on Sundays during the summer months, a keen eye for detail and follow through. We are looking for someone who enjoys supporting others in an administrative role and is happy to get involved in a wide variety of people and operations-related tasks.

Anderson Ranch Arts Center is a year-round visual-arts not-for-profit, tax-exempt organization with a 55-year history of providing transformative experiences that celebrate artists, art-making and creative dialog, at the intersection of craft and the global contemporary art world. Anderson Ranch brings together both aspiring and internationally renowned artists who come from across the country and around the world to test new ideas, explore new disciplines and techniques, hone their art-making skills, engage in meaningful dialog and connect with thought leaders in the artistic community.

Anderson Ranch’s campus is an artistic community nestled among the pristine peaks of the Rocky Mountains. The Ranch campus consists of 14 buildings providing 55,000 square feet of facilities including eight studio buildings, a gallery, a lecture hall, café, store, administrative offices, a student dormitory, as well as residential apartments and cabins. State-of-the-art equipment allows cross-disciplinary experimentation within the mediums of ceramics, woodworking, photography, digital fabrication, painting, sculpture and printmaking. The campus is an oasis of renovated 19th-century cabins and barns that sit alongside contemporary designed buildings, all within the renowned cultural and recreation communities of Aspen/Snowmass, CO, and the Roaring Fork Valley.

Position Summary:

The Operations Assistant is one of the front line points of contact and the ability to represent Anderson Ranch with a high level of integrity and professionalism is essential for this position. This role requires organization, reliability and a positive attitude. This person will assist with operations, Human Resources, and housing tasks on a daily basis and a clear understanding and ability to maintain confidentiality, competence, and professionalism are critical for this role. The Operations Assistant has responsibility for ensuring guest arrival runs smoothly, monitors the scheduling of housekeeping, assists with maintaining accurate records regarding housing, communications and human resources along with other administrative duties. 

Core Responsibilities:

  • Hospitality / Housing Coordination: Assists with coordinating lodging for all students, faculty and guests and maintains master housing matrix. Creates and distributes housing welcome packets. Greets and checks in guests upon arrival and on every Sunday throughout the summer. Assists with housing tracking, communications with contractors, staff and students, and weekly inspections. Maintains inventory of supplies related to housing and housekeeping. Assists with enforcing Ranch lodging guidelines, monitoring guest services email, handling complaints and coordinating special requests for all guests. 
  • Business Safety: Assists with implementation of the Business Safety Plan including monitoring Program Participant Pre-Arrival Forms. Assists with answering the Ranch after hours on-call phone. Maintains business safety supply inventory. Helps with protocol creation, communication and monitoring.
  • Human Resources Administration: Provides administrative support to the human resource function, including record-keeping, file maintenance and data entry. Helps to ensure that the organization’s HR policies, processes, and practices are as efficient and high-performing as possible. Maintains and updates employee records, supports the administrative part of the new hire process working with the hiring manager, assists with the preparation of the performance review process, prepares correspondence as requested along with other administrative duties.
  • Administration Assistance: Contributes positively as part of a team, helping out with various administrative duties as required. Responsible for daily mail drop off and pick up including sorting and cataloging any checks that are received. Maintains institutional calendar and employee directory. Helps maintain and monitor operation, facilities and IT request forms in addition to assisting with requests. Provides excellent customer service and maintains relationships with staff and other stakeholders. Prepares and files forms and other documents. Analyzes operations and makes suggestions for improvement. Processes invoices and credit card reports. Assists in responding to after hours issues as needed. Plays a supporting role for the logistics of internal events and meetings.
  • Welcome Center / Reception: Assists with the welcome center when necessary including coverage when appropriate and Sundays during the summer. Provides callers with general information. Anticipates, responds to and follows up on any guest or visitor requests. Assists with clerical duties. Orders, receives, stocks and distribues office supplies. Receives, sorts, and distributes incoming mail, both electronic and physical. Coordinates service for office equipment (phones, fax, printers, copier).

  • Good interpersonal skills with ability to fairly resolve disputes and complaints.
  • Ability to keep confidential information secure and private.
  • Ability to follow directions and strong follow through.
  • Proficient with Microsoft Office Suite.
  • Eligibility as a Ranch driver (driver’s license and clear MVR check)

Staff Community Responsibilities:

  • Community Outreach Leader: All staff members are expected to build and lead partnerships with community organizations as they relate to their area of responsibility, and to actively support the outreach efforts of other team members.
  • Engaged & Supportive Team Member: All staff are expected to support colleagues and engage in the programs and events of the Ranch by attending lectures, artist talks, fundraising events, and community wide events and being available to jump in and help make them a success.
  • Support Major Fundraising & Community Events: All staff are expected to support the major annual events that engage the public and fundraisers. These are “all hands on deck” efforts and all staff are expected to participate in ways outside their normal professional functions to make them a success from set-up, to execution, to tear down.
  • Professional & Personal Development: Continuing to learn and improve is a job requirement of all staff. Team members are expected to be growing, learning, and improving in their artistic and professional lives.
  • Brand Ambassador: All team members are expected to comport themselves in a manner that is fitting with the organization; represent the Ranch both on and off-campus, as well as online and on social media, keeping in mind that positivity and professionalism are respected and appreciated.

Physical Requirements:

  • Sedentary work that primarily involves sitting/standing, working on a computer and phone calls.
  • Light work that includes moving objects up to 30 pounds.
  • Typical tasks as required to actively work in art studios/facilities/offices in a historic building space with uneven surfaces, stairs, gravel walkways, etc. 

Other Duties
